Documentation
Practical workflows for researchers, students, supervisors and organization administrators. Availability follows your permissions and enabled services.
Getting Started
Create an account, verify your email and choose your academic role. In Settings, choose your language, theme, name and optional profile photo. Students and supervisors use Projects, Tasks, Milestones, Literature, Manuscripts, Research and Reports according to their explicit participation. Select your workspace, then create a project or start with an independent milestone or task. Connect through accepted academic invitations. Supervisors can create assignments for eligible students; each assignee accepts or declines and records individual progress before review.
Dashboard
The Dashboard brings together your accessible work, progress and upcoming deadlines. Students can follow their milestones, tasks and review states. Supervisors use their own created or explicitly assigned work; choose a specific student when you want an authorized student view. An accepted supervision relationship or organization membership does not expose all of another person’s private work.
Projects
Use Projects to group milestones and tasks around a shared goal. Choose explicit members and their project roles. Project membership does not expose private academic feedback. Milestones can remain outside a project, and tasks can remain outside a milestone. Archive an inactive project to preserve its history.
Research records
Create a private research plan, meeting preparation record, evidence record, translation review, publication record, discovery record or requirements checklist. Add an official source and verification date where relevant. Each edit creates a version; translations identify their exact source version. Select authorized reviewers or an explicit project audience when sharing is needed. Meeting actions can become tasks with a source link. External releases expose only the exact reviewed version to a verified guest until expiry or revocation. Checklists are private. These records do not replace institutional approval or professional advice.
Milestones
Milestones represent major research goals. Students can create their own milestones; supervisors can create milestones and assign eligible students. Choose a project if useful, or leave the milestone independent. Explicit assignees and reviewers define who participates. Assigned requirements and dates are managed by the creator; students can request changes, record progress and create permitted supporting tasks. Shared completion follows individual accepted assignments and review. Completed milestones remain in the work history.
Tasks
Tasks can belong to a milestone or remain independent. Create a title, description, deadline and priority; link only parents you may access. Supervisors can assign eligible students, who accept or decline before reporting progress. Each student has a separate progress submission and review. Use the Kanban board for permitted status changes, and open task details for comments, dependencies and assignment history. Protected assignment requirements require a change request instead of an unauthorized edit.
Literature Review
Students and supervisors can maintain their own private literature library and share permitted records explicitly. Add references manually, import a DOI through Crossref, paste BibTeX or connect an authorized Zotero library. Check imported authors, titles and identifiers against the original source. Organize citations with folders, tags, reading status and ratings. Create a structured reading summary for the research question, methods, results and relevance. You can share a citation explicitly in chat; the assistant does not automatically read conversations or extract citations. Reading notes remain library records and are not automatically included in the current monthly report.
Manuscripts
Write Markdown or LaTeX, organize sections and export your work. Students and supervisors can create manuscripts; supervisors can include eligible students explicitly assigned to linked work. Choose SwiftLaTeX PdfTeX or XeTeX, or BusyTeX PdfTeX, XeTeX or LuaTeX according to your document, packages and fonts. BibTeX or Biber runs automatically when required by the bibliography. Packages and fonts download as needed; the same browser cache is reused across manuscripts. Offline compilation requires the necessary files to be cached. Authorized peers share text and file changes; local offline edits are retained and synchronize when peers reconnect. Keep your own exports, since clearing browser data can remove local files. When hosted backup is enabled and within allowance, automatic sync runs at most once per minute while the manuscript page is open; use Sync to Cloud for a manual checkpoint. A quota or upload failure preserves the previous confirmed backup. ZIP export and restore let you resolve file conflicts explicitly. Publication releases freeze saved sections and a file manifest with hashes. Their archive remains in the browser where it was created until exported or imported elsewhere; later edits do not alter a frozen release. Record reviewer responses and authorized coauthor review before submission. The app does not submit to journals automatically. If compilation fails after a successful preview, the previous PDF remains visible with an explicit notice, the current error and compilation log. Check warnings before using a generated PDF.
Viva Submissions
Submit a Viva for work you are authorized to report. Record the work completed, findings, method, challenges, next steps, time and self-evaluation. An authorized reviewer provides structured feedback, including an approval, requested revision or rejection. Keep private feedback within its permitted audience. Viva feedback and each student’s assignment progress remain distinct records; check the relevant review state before treating shared work as complete.
Chat & Messaging
Message authorized collaborators and share permitted attachments or a citation selected from your library or entered as BibTeX. Citation cards and conversation history remain linked to that chat. The assistant provides product guidance and does not automatically inspect messages. Call availability depends on the configured provider and funded capacity; recording and institutional video guarantees are not included by default.
Calendar
The Calendar provides a visual timeline of your research activities.
• View tasks and milestones plotted on a monthly calendar.
• Color-coded events: tasks by status, milestones by priority.
• Click any event to view its details or navigate to the full task/milestone page.
• Deadlines are highlighted for quick identification of upcoming due dates.
Meeting Requests
Request a meeting with eligible participants by choosing a date, time, timezone, duration and agenda. Participants accept or decline; only an accepted meeting becomes joinable at its scheduled time. Keep the displayed timezone in mind when planning across countries. Prepare notes and agreed actions in Research records and link follow-up work explicitly. Optional reminder emails require the platform master, funded capacity and organization preferences; in-app records do not guarantee email delivery.
Progress Reports
Monthly reports cover the previous complete UTC month, grouped by project with a separate group for work outside projects. Saved evidence and per-student contributions come from recorded work; private academic records keep their own audience. The same saved report can have English, French and Japanese variants without creating another report identity. Open a saved report from its notification, inspect its evidence and export or compile it. Reports state evidence limits; optional generated analysis requires separate funded capacity.
Collaborators
Invite an eligible supervisor or student and track whether the invitation is pending, accepted or declined. Academic collaboration and organization administration are separate. Shared projects use explicit members; assigned tasks and milestones use their own assignees and reviewers. Accepting an invitation does not grant access to every private record, manuscript release or other student’s progress. Manuscript coauthors must be added explicitly. To add an eligible co-student or supervisor to a task, milestone or project, use its collaboration invitation. The recipient sees a brief invitation and gains access to that work only after accepting; pending invitations do not reveal requirements, private files or linked research.
Settings
Set your name, language, theme and avatar. An optional JPEG, PNG or WebP photo is resized and compressed before private storage and is shown to authorized profile viewers and call participants. Remove it to restore your color or gradient avatar. Manage browser notifications, permitted email preferences, password and onboarding tips. Organization admins also see their workspace usage and billing controls. Account deletion removes personal data through cleanup; shared research and required records may be retained or de-identified as described in the Privacy Policy.
AI Assistant
Open the assistant orb for help with the current page or an available workflow. It can guide you to a page, open a supported dialog and highlight the relevant control. Suggested steps use your actual role and accessible workspace. Guidance does not save records or authorize purchases. Review the normal form before saving. AI use is bounded by account, workspace and funded provider limits; demo accounts have one request. Avoid including information you are not authorized to share with the selected AI provider.
Organization and billing
Your academic role and organization administration are separate. Use the workspace selector to choose among your memberships. Organization owners and admins manage permitted members, usage, optional email preferences and their subscription in Settings. Available Paddle checkout, add-ons and plan changes are shown only when released and funded; bank-transfer requests go through support. Checkout confirmation does not itself activate an organization: verified payment reconciliation does. Students and supervisors share the plan seat allowance. Invoices, cancellation and payment-method controls remain available independently of the plan-change waiting period. Removing a member revokes organization access and frees their combined seat while preserving their account and shared research. Project owners should transfer project ownership before departure. Authorized creators handle permitted assignment changes; resolve ongoing assignments in the departure dialog before removal; original authorship is retained. Organization owners must transfer ownership before removal.
Temporary demo
A demo uses fictional sample work in its own workspace. Access lasts six hours from creation and does not extend when you return. One bounded assistant request is available when funded. Manuscripts, chat, meetings and reports retain visible page shells with a demo notice, while their live services remain unavailable. Uploads, external connections, invitations, payments and outbound emails are disabled. Access ends at expiry; retryable cleanup removes temporary data afterward. Export anything you wish to keep before expiry.
